A1 form — what is it and why is it essential when posting workers?

Praktyczny przewodnik Staffeo dla firm przemysłowych i specjalistów pracujących za granicą.

A1 form przy delegowaniu pracowników

A1 form confirms that a worker posted to another EU country remains subject to the Polish social security system. The document follows from EU social security coordination, in particular Regulation 883/2004.

Najważniejsze informacje

A1 is needed by every person posted to work in an EU country, regardless of position. It applies to welders, fitters, operators, foremen, QC and supervisors. The application is submitted electronically to ZUS, and processing usually takes from several to thirty days.

Wymagania in practice

The form validity is linked to the posting period and generally does not exceed 24 months. Without A1, the worker may become subject to insurance in the country where work is performed, generating high costs and formal risk for the company.

Ryzyka i terminy

Belgium requires Limosa notifications, the Netherlands uses notification systems for posted workers, and Germany has its own requirements for temporary work and AÜG. A1 is the basis, but never the only entry document.

How Staffeo helps

Staffeo handles A1 for posted workers, monitors deadlines and completes documents before mobilization. This avoids nervous document searches at the site gate or explanations that a document is still in progress.

Why is A1 so important financially?

Without the A1 form, the worker may be considered subject to social insurance in the country where work is performed. In practice this means a risk of double contributions, arrears, penalties and disputes with local institutions. With a crew of a dozen people, the problem can stop mobilization or significantly increase project cost.

What data is needed?

Preparing the application requires worker data, posting period, country and place of work, employer information and the posting basis. It is important that A1 dates match the real work period and project documents.

Staffeo role in posting

Staffeo connects A1 with the rest of the process: local notifications, accommodation, transport, VCA/SCC requirements and working-time reporting. The candidate knows when they leave, where they sleep, whom to call on arrival and which documents to carry.

A1 and other entry documents

A1 does not work in isolation. When posting, it must be combined with the contract, local notification, tax documentation, policy or health insurance confirmation, professional certificates and HSE requirements.

Most common posting mistakes

The most common problems are late applications, no updates when project dates change, confusing the country of work, incomplete worker data or assuming one document is enough for every rotation.

What should be agreed with the client before departure?

Before mobilization, confirm the exact site address, start date, expected rotation end, overtime settlement model and the person responsible for admitting workers to work.
